RoamRoster terms of service
The terms that apply when you subscribe to RoamRoster and run departures on it. In force from September 4, 2026.
1. Acceptance of these terms
These terms form the agreement between you and MLJ, SASU, the company that publishes RoamRoster, whose full details are on the legal notice. By creating an account, subscribing to a plan or using the service in any way, you accept them on behalf of yourself and the business you represent. If you do not accept them, do not use the service. If you are agreeing on behalf of a company, you confirm that you have the authority to bind that company.
2. The service we provide
RoamRoster is a web based trip roster for organizers who sell and operate small group trips. The service lets you open a departure, list travelers on it, set a deposit and dated installments, collect those payments through your own merchant account, run a rooming questionnaire and produce suggested roommate pairs, request and store traveler documents such as passport pages and insurance certificates, send pre departure message sequences, and export rosters and manifests. We provide the software and the hosting. We do not sell travel, we do not act as a tour operator, we do not hold traveler money, and we are not a party to the contract between you and your travelers.
3. Accounts and eligibility
You must be at least eighteen years old and operating a business to hold an account. You are responsible for the accuracy of the account details you give us, for keeping your credentials confidential, and for everything done under your account, including by the staff seats you invite. Tell us promptly at jimenezjulien42@gmail.com if you believe your account has been accessed by someone else. We may suspend an account we reasonably believe is compromised until it is secured.
4. Acceptable use
You agree to use RoamRoster only for lawful business purposes and only with traveler data you are entitled to hold. You may not attempt to breach the security of the service, probe it for weaknesses without written permission, resell access to it, use it to send unsolicited bulk messages to people who have not registered for one of your trips, or upload material that is unlawful or infringes someone else's rights. You are responsible for complying with the privacy and consumer protection laws that apply to your travelers, including collecting a lawful basis for the documents you request from them.
5. Subscriptions and billing
Three plans are offered: One Trip at $39 per month, Season Pass at $99 per month and Tour Business at $209 per month. Prices are in US dollars and exclude any tax that may apply in your jurisdiction. Subscriptions are billed monthly in advance to the card on file, on the same day each month, starting on the day the plan begins. Plan features are those described on the pricing section on the day you subscribe. If we change a price, existing subscribers are told by email at least thirty days before the change takes effect and may cancel before it applies.
6. Cancellation and refunds
You can cancel at any time from your account settings without contacting support. Cancellation takes effect at the end of the billing month you have already paid for, and there is no exit fee and no notice period. Partial months are not refunded, since you keep full access until the period ends. If you believe you were charged in error, write to us within sixty days and we will investigate and refund an incorrect charge in full.
7. Your data and your travelers' data
You own the rosters, payment records, rooming answers, documents and messages you put into RoamRoster. We act as your processor for traveler personal data and process it only to run the service, to keep it secure and to support you. We never sell it, never use it to train models, and never contact your travelers on our own behalf. You may export your data at any time in CSV form together with the stored documents. After cancellation your account is read only for sixty days and is then deleted permanently.
8. Service availability and support
We aim for the service to be available at all times and we schedule maintenance outside US business hours where possible. Availability is not guaranteed and can be affected by our host, by network conditions or by events outside our control. Support is provided by email during French business days. Season Pass and Tour Business subscribers receive a reply within one business day. We publish notice of any incident affecting payments or document access to the affected accounts.
9. Warranty disclaimer
The service is provided as it is and as it is available. To the fullest extent permitted by law we make no warranty that the service will be uninterrupted, error free, or fit for a particular purpose, and we do not warrant that suggested roommate pairs, payment schedules or document expiry checks will suit every departure. You remain responsible for reviewing the output of the service before you rely on it in front of your travelers or your suppliers.
10. Limitation of liability
To the fullest extent permitted by law, our total liability arising out of or relating to the service in any twelve month period is limited to the subscription fees you paid us during that period. We are not liable for indirect or consequential loss, for lost profit, for lost bookings, for the cost of a substitute service, or for loss caused by a payment processor, a supplier, an airline or a traveler. Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for fraud or for death or personal injury caused by negligence.
11. Indemnity
You agree to indemnify MLJ, SASU against claims, damages and reasonable costs arising from your use of the service in breach of these terms, from traveler data you were not entitled to upload, or from the travel services you sell to your own customers.
12. Changes to these terms
We may update these terms to reflect a change in the service or in the law. Subscribers are notified by email at least thirty days before a material change takes effect, and the revised version is published on this page with a new date. Continuing to use the service after that date means you accept the revised terms. If you do not accept them, you may cancel before they take effect.
13. Governing law and jurisdiction
These terms are governed by French law. Any dispute that cannot be settled amicably will be brought before the competent courts of Paris, France. This does not deprive a consumer of the protection of mandatory rules in their country of residence.
